Transfer of the City Documentary’s tasks and collection assets to the National Archives

From 1 January 2024, the administration and institutions of the City of Reykjavík will submit their documents to the National Archives of Iceland.

The City Council of Reykjavík decided on 7 March 2023 that the City of Reykjavík’s project and collections would be transferred to the National Archives of Iceland and subsequently the City Archives would be decommissioned in its current form. The City and the National Archives have jointly prepared an action plan for the project. The project will be carried out in two stages and the National Archives have now published information and timing of the project on a special website. In addition, information meetings will be held for the staff of the City of Reykjavík about the changes that are ahead in the coming weeks.

From January 1, 2024, the administration and agencies of the City of Reykjavík will return their documents to the National Archives of Iceland. At the same time, the National Archives will assume the role of the City Registry regarding advisory and supervisory functions regarding the archiving and records management of the institutions and administrations of the City of Reykjavík. This includes approving legal documents, archiving plans and archiving, handling notifications on electronic databases, accepting requests for the delivery of paper documents upon receipt, deciding on gristling of documents and supervising the archiving and records management of the City of Reykjavík. With the transfer of tasks from the City Registry to the National Archives, the role of the Office of Information and Document Management at the City of Reykjavík will be to oversee the records management of the City of Reykjavík, to carry out internal advice, i.e. to issue instructions to employees, to provide education to ensure good administration as well as to have internal supervision of implementation according to the rules on records management. The Office will also be the City of Reykjavík's contact point with the National Archives of Iceland. In addition, the reception of private archives from Reykjavík will be transferred to the National Archives from the same time or January 1, 2024.

In the second stage, it is planned that the archives of the Reykjavík City Archives will be delivered to the National Archives of Iceland for preservation and this will not be later than 1 November 2025. Persons who request access to documents from the archives of the City Archives, a copy or have queries related to documents in its custody should therefore contact the City Archives and the museum will grant access to the archives until 1 November 2025.
