Transfer of projects and collection of the Kópavogur Regional Archives to the National Archives

At the meeting of the town council of Kópavogur on April 25th 2023, it was decided that the collections and projects of the Kópavogur Regional Archives would be transferred to the National Archives of Iceland and subsequently the Kópavogur Regional Archives was closed down.

The town council meeting on 14 May 2024 also decided that private archives would be delivered to the National Archives for preservation. Kópavogur and the National Archives have worked on an action plan for the transfer of the projects and collection assets of the Kópavogur district archives to the National Archives.

The project will be carried out in two stages and the National Archives have now published information and timeliness of the project. In addition, information meetings have been held for the staff of Kópavogur about the changes that have occurred and are ahead of them.

From April 1, 2024, the administration and institutions of Kópavogur will submit their documents to the National Archives of Iceland. At the same time, the National Archives of Iceland assumed the role of the Kópavogur Regional Archives regarding advisory and supervisory oversight of archiving and records management of the Kópavogur municipality's institutions and administrations. This includes approving case documents, archiving plans and archiving records, handling notifications on electronic databases, accepting requests for delivery upon receipt of paper documents, deciding on grist of documents and supervising the Kópavogur municipality's archiving and records management. With the transfer of tasks from the Kópavogur Regional Archives to the National Archives, it will be one of the tasks of the Kópavogur Department of Records to oversee the municipality's archiving, carry out internal advice, issue instructions to employees, provide education to ensure good administration as well as to have internal supervision of implementation according to rules on records management. The Department of Records will also be the Kópavogur contact point with the National Archives of Iceland. This includes assistance and advice to Kópavogur's institutions and areas in the making of case documents, archiving plans, handling documents and information, and general advice on information and records management and more. In addition, the receipt of private archives from Kópavogur will be transferred to the National Archives from the same time or on April 1, 2024.

In the second stage, it is planned that the archives of the District Archives of Kópavogur will be delivered for preservation in the National Archives of Iceland and this will not be later than December 1, 2025. Persons who request access to documents from the archives of the District Archives of Kópavogur, a copy or have queries related to documents in its custody should therefore contact the District Archives and it will grant access to the archives until December 1, 2025.
